Information for Delegates

Dear Member of Provincial Synod;

Congratulations on being elected as a delegate to Provincial Synod 2015. The 48 th session of Synod will convene at Manitou Springs Resort & Conference Centre, in Watrous, SK, from Thursday, June 18, through lunch on Sunday, June 21, 2015. The theme of this Synod is “Marked by Mission”. In addition to presentations by gifted leaders, delegates will engage in facilitated conversations which the Synod Planning Team hopes will result in shaping the future structure for our Province of Rupert’s Land. We will discuss how we are first ‘Marked by Mission’ and by the end of Synod how we are ‘Moved for Mission’. We are very pleased that our Primate, The Most Rev. Fred Hiltz, will be with us to lead one of the presentations and share in this Synod which will include the election of a new Metropolitan for our Ecclesiastical Province.

Details for the Synod are outlined below. Please read carefully and thoroughly.

    • Registration will begin at 1:00 pm on Thursday, June 18, 2014, and continue until 4:30 pm. The Opening service will be held in All Saints’ Anglican Church, 310 Main Street in Watrous, beginning at 7:00 pm followed by the election of the next Metropolitan of Rupert’s Land. A reception, hosted by the Diocese of Saskatoon, will conclude the evening.
    • Sittings continue at Manitou Springs Resort on Friday throughout the day. On Friday evening, following a B-B-Q dinner and brief sitting, we will gather for a farewell and jamboree honouring our retired Metropolitan, David Ashdown.
    • Sittings continue on Saturday with discussion, resolutions and balloting for the various offices and committees of the Synod. A special ‘banquet’ is being planned for Saturday evening at the 102 year old ‘Danceland’ on the water’s edge of Little Lake Manitou, which will include a brief and public service of installation of our newly elected Metropolitan.
    • The Synod will resume sitting on Sunday morning, and will conclude with a Eucharist (at 10:30 am) representative of our work together celebrating National Indigenous Day, June 21, 2015. It is anticipated that delegates can begin to depart shortly after 12:00 noon.

Travel Arrangements/Transportation

Delegates from Brandon, Qu’Appelle, Saskatoon, Saskatchewan and Rupert’s Land should come by vehicle. Travel by car is paid per km at the following rates: $0.25 per km for 1 delegate per car; $0.35 per km for 2 delegates per car; and $0.45 per km for 3 or more delegates per car. Those travelling by car are asked to arrive early afternoon on Thursday to register and check into their rooms. *Delegates from the above-noted dioceses who choose to fly will be reimbursed at the amount of round-trip travel by car, or return economy air fare, whichever is less.

Delegates from Athabasca, The Arctic, Calgary, Edmonton, and The Indigenous Spiritual Ministry of Mishamikoweesh are authorized to travel by air. Reimbursement will be paid up to return economy air fare, (and for a per km amount for those whose travel must include both vehicle and air.)

All those travelling by air should book their flights to arrive in Saskatoon on Thursday, June 18, not later than 12:45 pm. A shuttle service will meet your flight and transport you to St. John’s Anglican Cathedral where you will register, receive a light snack and board a bus (departing at 2pm) for Watrous, SK, (approx. 1 hr 20 min). Flights in and out of Saskatoon are limited, so please book soon. Departing flights on Sunday, June 21 should not be booked prior to 3:30 pm.

If you book your travel in such a way that you unable to meet the pre-arranged arrival or departure deadlines for group transportation to and from the conference site, alternate arrangements will be your own responsibility. *The Local Arrangements Committee will endeavour to work with any airline related delays, without additional costs to the delegate.

Accommodation and Meals

Meals and accommodation will be paid by your diocese, billed at $400 per delegate based on double occupancy. Single accommodation is available on a limited basis, for an additional cost of $250 per delegate. Unless your diocese determines that it will cover the costs of upgrading delegates to single accommodation, if you select single accommodation you will be responsible for the up-grade charge of $250, payable to your diocese. (Dioceses, at their discretion, may provide an upgrade to single accommodation for delegates with a special needs or a medical condition. If this applies to you, please contact your diocesan office to determine their policy in this regard.)

Provincial Synod is being held at the lovely and unique Manitou Springs Resort and Conference Centre. We encourage you to visit Manitou Springs’ website to view the venue. Because of this resort venue, delegates may wish to consider bringing their spouse. The additional cost to your spouse would $400 which includes shared accommodation (with you) and a full meal program (Thursday supper to Sunday lunch). You would be responsible for this additional cost, payable to your diocese.

*Manitou Springs has a beach-side campground which may appeal to you. Your camping fees would be paid, as well as your meal package would be included. Just a thought!

Registration for Synod:
An on-line registration has been posted on the Provincial website at Registration Deadline: April 1, 2015. If you do not have access to a computer, please ask your Synod office to assist you with the registration process. We encourage you to register early as single accommodation is limited and will be provided on a first-come, first-served basis.

Convening Circular and Conference material:
All reports, memorials and other documents to be included in the Convening Circular for the synod must be submitted to the Provincial Secretary at least two months prior to the day of Synod. I have selected April 1, 2015 as the date by which all material needs to be submitted. In early May, you will receive an email notification that the Convening Circular and Conference material has been posted
to the provincial website. The email will include a link so you can download the material. If you would like a print copy of the Circular and materials for Synod, please check the box “printed material” on the registration form when you register on-line for Synod.

Participation at Synod:
In addition to presentations, reports and resolutions, this Synod will include a fair amount of facilitated group discussion. Your active participation will enhance not only your experience at Synod, but enrich the gathering as a whole. Elections will be held for the various committees and boards of our current structure. Details about these positions will be included with the Convening Circular. Please be sure to consider the possibility of standing for election for one of these positions.

Another way in which you can participate at Synod is to share your musical talent. As part of our Friday evening social time, we will be holding a ‘jamboree’. “Jamboree” can be defined in many ways according to Wikipedia — but here is an appropriate description: a festive gathering, often including speeches and entertainment. All members with musical talent are encouraged to bring instruments and be willing to offer their musical giftedness for the benefit of the Synod. (Don’t be shy!)
